Job Overview
The Office Administrator will serve as the first point of contact for clients, vendors, and visitors at our office. This role is responsible for managing all front-office activities, including greeting guests, answering and directing calls, and maintaining the reception area. The ideal candidate will handle administrative tasks such as managing appointments, coordinating meeting room schedules, and processing incoming and outgoing mail. Additionally, they will support the IT Team with administrative tasks and ensure that Helpdesk lines are directed to the appropriate departments promptly and professionally.
Duties & Responsibilities
- Answering and directing phone calls in a professional manner.
- Assisting in Helpdesk and directing tickets to NCT Employees/ Engineers.
- Managing office security procedures, including maintaining visitor logs.
- Organizing and maintaining physical and electronic filing systems.
- Assisting in the creation and maintenance of databases, spreadsheets, and other documentation.
- Assisting in scheduling meetings, for staff members.
- Preparing and distributing internal communications such as memos, emails, and announcements.
- Assisting in planning and organizing company events and meetings taking place in the office.
- Maintaining office supplies inventory and placing orders, as necessary.
- Managing incoming and outgoing mail, packages, and deliveries.
- Overseeing the maintenance and cleanliness of the office space.
- Greeting visitors and directing them to the appropriate person or meeting room.
- Coordinating with building management for repairs and maintenance as needed.
- Ensuring office equipment is functioning correctly and arranging for repairs or replacements when necessary.
Skills & Qualifications
- At least 2 years’ experience in a similar position.
- University / College degree will be considered as an advantage.
- Excellent knowledge of Microsoft Office and other relevant applications.
- Excellent organizational and administrative skills.
- Analytical Skills.
- Fluent in Greek and English.
- Very good communication and interpersonal skills. Confident in interacting with and influencing individuals at all levels within or outside the organization.
- Able to maintain the highest degree of confidentiality and professional discretion.
