Job Overview
The Sales Operations Specialist will be responsible for placing orders to Vendors and resellers and following-up to ensure accurate acknowledgement and prompt order shipment information. The Sales Operations Specialist will also generate reports and performs on-going effective and courteous communication with the internal Teams.
Duties & Responsibilities
- Reviewing and editing orders for errors, discrepancies or omission of information, as necessary.
- Monitoring order status (shipping, booking and confirmation).
- Communicating with Account Coordinator and/ or Sales regarding corrections and clarifications requiring their input.
- Providing receiving PO/SO numbers for all incoming orders to operations and sales Team.
- Verifying all orders; ensuring orders are received and shipped on time.
- Ensuring status on all open orders is monitored on a regular basis via the system dashboard.
- Confirming all acknowledgements daily.
- Upon input from sales, managing the whole process of new products as well as maintenance renewals, quoting requests and approvals, preparing and submitting contracts, collecting signed contracts and booking orders.
- Continuously monitoring maintenance expiration dates of existing contracts and proactively informing sales and preparing all processes and paperwork for required upcoming renewals.
- Maintaining contract and revenue archiving and reporting.
- Collaborating with internal clients to drive the coordination of the fiscal year planning, quota setting, budgeting, forecasting and business readiness processes.
- Collaborating to provide revenue support, including pipeline analysis, tracking operating expense and headcount, assisting with transaction processing, etc.
- Enhancing and maintaining a core set of standard reports that meet the needs of the business.
- Producing regular reports to an agreed frequency.
- Driving the enhancement of data quality and integrity as appropriate.
Skills & Qualifications
- University Degree
- General understanding of systems / ERPs would be considered an advantage (Microsoft Navision would be an additional plus).
- 1 to 2 years experience in Sales Operations would be considered an advantage.
- Knowledge with Microsoft product suite (Excel, Word, and Outlook).
- Must be detail oriented.
- Strong organizational and administrative skills.
- Strong and effective verbal and written skills.
- Ability to prioritize workload and work under pressure.
- Comfort level with computers and technology in general.
- Analytical skills.
- Ability to work well with cross functional teams.
- Requires a strong work ethic, with an emphasis on teamwork and positive attitude.
- Ability to drive results in fast-paced environment.
- Excellent communication skills in the English language.
